Switch PLUTUS GLOBAL Back to workspace

HELP & LEARNING

Quick reference guide

Everyday fuel and lubricant operations, one task at a time.

Remember: saving usage is not syncing it.

Usage stays on this device until you use the red Switch control. Other stock changes save directly while connected.

9 of 9 topics

1. Start your day

Role Center

  1. Check the selected site and review stock levels and reorder alerts.
  2. Open Items & Tanks to select an item and inspect its balance, capacity and reorder point.
  3. Use Alt+Q (or Ctrl/Cmd+K) to find pages and actions.

Initial records are illustrative. Verify physical stock before relying on a balance or making an adjustment.

2. Record usage and sync

Log usage → Save on this device → Role Center

  1. Choose the stock item, enter the quantity in litres and identify the consuming vehicle, person or branch.
  2. Choose Save on this device. This creates a pending draft; saved stock has not changed yet.
  3. When connected, return to the Role Center and use the red Switch control to sync.
  4. Check Item Ledger Entries for the saved movement. If a draft fails, review its error under Pending on this device.

Keep the workspace open when offline. Do not clear browser storage or move to another device before syncing. Refresh does not sync drafts. Discard draft removes only an unsaved draft.

3. Add stock and set reorder levels

Items & Tanks → New

  1. Enter a stock name, product / grade, site and category.
  2. Enter capacity, opening balance and reorder threshold in litres; the balance must fit within capacity.
  3. Save changes. Select the item to review Item Details.
  4. Select Reorder at in the details card to change the threshold.

A reorder alert appears when the balance is at or below the threshold. It does not place an order.

4. Receive, transfer or adjust stock

Items & Tanks → select an item

  1. Receive stock: record a manual receipt with a quantity and reference. Use Purchase Orders for deliveries against an order.
  2. Transfer: choose a different destination with the same product, enter quantity and a reason, then save.
  3. Adjust inventory: choose add or subtract, enter quantity, reference and reason, then save.

These actions save directly to the server and need a connection. Transfers must fit the destination capacity; no action may make stock negative.

5. Correct a saved movement

Item Ledger Entries

  1. Find the original usage, manual receipt or adjustment.
  2. Choose its reversal action and record the reason.
  3. Save the reversal, then enter the correct movement if needed.

The original record remains visible. A movement can be reversed only once. Transfers, opening balances and order delivery receipts cannot be reversed through this action.

6. Compare quotations

Purchase Quotes → New quote request

  1. Choose stock, quantity and the closing time in UTC.
  2. Open the request and choose Add quotation. Enter a supplier alias, inclusive unit price, delivery charge and terms.
  3. Compare totals: quantity × unit price + delivery charge.
  4. Choose Select offer, enter a selection reason and choose Create demo order.

Quotations are internal demo records. Switch does not send supplier invitations or place real orders. Use Extend window for a closed quotation window; Cancel request requires a reason.

7. Record an order delivery

Purchase Orders

  1. Find the order and choose Mark dispatched when appropriate.
  2. Choose Receive delivery. Enter only the accepted quantity, the receiver and delivery reference.
  3. For a partial delivery, record each receipt separately until the remaining quantity is zero.

Accepted quantities increase saved stock immediately. Do not record the same delivery again as a manual receipt. Payment and commission collection are not enabled.

8. Review and export

Reports & Analysis / Item Ledger Entries

  1. Select the relevant site before reviewing totals or exporting.
  2. Use Consumption by entity to review net usage after linked reversals.
  3. Use the Audit trail to see who recorded each workspace action.
  4. Choose Export ledger or Export CSV to download the saved stock ledger.

The usage and receipts summary cards show gross figures. CSV exports follow the site selection, not the activity search text, and exclude unsynced drafts.

9. Account and common issues

My Settings

  1. Use My Settings to edit the workspace name, toggle the completion sound or sign out.
  2. If signed out, sign in again and retry. Sessions expire after eight hours.
  3. If sign-in is blocked after repeated attempts, wait 15 minutes before retrying.
  4. For an account or password assistance, contact your administrator. There is no self-service registration or password reset.

Each account has its own private workspace. Separate administrator roles and shared organisation access are not implemented. If a save reports a conflict, refresh saved records and retry after reviewing the current balance.
